Dentico Dental Agency is a multi-model business consisting of various service provisions from the aspect of an Employer and Service Provider.
Terms
‘Service Provider’ – for provisions of temporary staff and respective employees for permanent recruitment or students in training.
‘Employer’ – directly employed and associate employed team members at Dentico Dental Agency.
‘Client, Service User’ – Dental Practices, Primary Contacts, Dental Facilities
‘Staff, Employees, The Worker’ – Directly employed or Self employed Association at Dentico
‘Respective Employee’ – Employee processed for Permanent Recruitment provisions
‘Students, Trainees’ – Individuals enrolled on Dentico Academy programme.
The statement will refer to both types of Services and summarise below what information we hold about you, how we use it, keep and store this information and Your Rights.
- Information Collection:
1a. Information held for ‘Clients’ include Practice Information (Address, telephone number, Types of dentistry and level of service required’ In addition, we hold details of a Primary Contact such as an Owner, Principal, Manager or Departmental Head – First name, mobile number and/or email address.
1b. As an Employer, we hold records of all Employees (Directly employed and Self employed association) including ID Documentation, RTW Compliance, Legislative Documents (GDC and Indemnity), Training & Course Qualifications, Health Records such as Immunity Status and Personal Identifiable Information: Name, Address, Contact Numbers and Emergency Details. Bank details are also held for Employees (Direct/Associates) for Wages. - Use of Information
2a. Client Information is used for the purpose of Sending confirmation of Locum Activities, liaising for booking management, assigning unique customer ID to anonymise practices and financial communications such as Invoicing & Payment. Dentico does not hold Bank details for Clients. All payments are made through Bank Deposit only to our Beneficiary Details.
2b. As an Employer, information of staff is used to liaise with said staff to assign bookings, send confirmation, review pay grades, make payments for wages and ensure Onboarding checks are completed upon initial enrolment.
2c. On occasions, Clients may ask for details of Staff (Temporary/Permanent). These are requested in writing and only authorised with the written permission of The Worker, or Perspective Employee.
2d. From time to time, Dentico may also use client information usually for the purpose of Email to send marketing information such as updates on our Availability, Services, Competitions, Discounts and changes to Business. Clients can opt out of this – please see Your Rights below for more information. Note: Dentico will only contact for business communications only. - Information Sharing
3a. Client information shared with our Workers include Practice address, proximity and transport/parking arrangements and any other information that has been requested from the Client e.g. Surgery number, service type required or Person reporting to for scheduled booking/s.
3b. As per 2c. information may be shared with the written permission of the Worker to The Client in the case of verification or contractual requirement e.g. Locum dentists on Compass PIN/Performer no. - Data Security
4a. All information held about Employees and Clients are held and managed internally with in house operating systems ‘Dentico CRM’, ‘eDiary’ or paid encryption services such as Xero Ltd and IONOS.
4b. Alternative platforms used include WhatsApp Business which is encrypted and connected to Dentico CRM
4c. All Dentico team including Admin Personnel are given training in Data Security and minimal information given out as per Caldicott Prinicples.
4d. All technology held at Dentico is serviced regularly, installed with Antiviral software and overseen by IT team. - Data Retention or Erasure
5a. Dentico aim to keep relevant and up to date information for all Clients, Students and Agency Workers. That’s why, we do an annual review of what we hold on file for our Personnel – this also allows for obtaining up to date information such as GDC and indemnity information. For Clients, information is updated upon request of Practice or 2 yearly whichever is practicable. Exceptions to this would be if new business information is changed such as Office details, bank details or changes to Services and Payment Terms.
5b. For non-activity of Client or Personnel information surpassing 2 years, information will be deleted under Erasure Guidelines GDPR.
Your Rights
Right to Access: You can request in writing to know exactly what information we hold about your practice. Whilst copies cannot be obtained unless Freedom of Information Act 2008 is accessed, a detail report can be provided.
Right to Rectify: You can contact us to rectify information we hold for you on file such as Primary Contact Persons, Change of Address or Phone/Email. This must be done so in writing with the corrections required.
Right to Object: In exceptional circumstances this clause can be exercised if required. T&Cs apply.
Right for Erasure: If you do not wish for us to contact you any further or use of our Services. This right can be applied in writing. Please note, any unsettled debt or incidentals must be finalised/resolved prior to this being achieved.
